Job Title: Content Operations Specialist – Document Management System

Location Chennai, India

Job Description

Own the operationalisation of document workflows, user processes, documentation completeness, and adoption activities for a metadata-driven enterprise Document Management System (DMS), ensuring effective, consistent, and scalable DMS usage across a global organisation.

Key responsibilities include:

  • Design and implementation of end-to-end document workflows
  • Development of user guidelines and documentation process frameworks
  • Partnering with global, cross-functional stakeholders to define the complete service documentation scope and ensure documentation completeness
  • Driving DMS onboarding and user adoption activities across the organisation
  • Facilitating stakeholder workshops to align processes and requirements
  • Ensuring data quality and correct metadata usage across all document types
  • Identifying and resolving operational gaps in document management processes
  • Limited travel for workshops, implementation reviews, and rollouts as required

Education

  • University degree in Business, Information Management, or a related discipline
  • Relevant certifications or training in Records Management, Document Management, or ECM platform technologies (e.g. AIIM, IGP, OpenText, SharePoint, or equivalent)

Technical & Complementary Skills

  • Strong knowledge of document lifecycle processes, operational workflow design, and content/document management systems
  • Understanding of metadata structures, classification principles, and document lifecycle management
  • Familiarity with DMS/ECM platforms and their operational configuration
  • Knowledge of information management standards and best practices
  • Ability to translate functional and governance requirements into operational processes and workflows
  • Process-oriented thinker with the ability to design efficient, scalable documentation workflows
  • Excellent facilitation and interpersonal skills for cross-functional stakeholder engagement
  • Strong communicator — able to simplify complex processes into clear, actionable guidance for diverse audiences
  • High ownership and accountability with the ability to work independently
  • Fluent written and spoken English

Experience Requirement

  • 5+ years in content operations, document control, or a related field
  • Demonstrated experience in document management operations, document classification and scoping, and system rollout or transformation programmes
  • Proven experience driving user adoption and delivering end-user training
  • Hands-on experience with DMS or ECM systems
  • Demonstrated ability to translate functional and governance requirements into practical operational solutions
  • Experience working in cross-functional and global project environments
  • Background in high document volume environments with structured processes is an advantage
